ImpairmentIQPro Privacy Policy
Effective Date: August 27, 2026 · Version 2026-08-27
This Privacy Policy describes how ImpairmentIQPro ("ImpairmentIQPro," "we," "us," or "our") collects, uses, processes, stores, and discloses information in connection with the ImpairmentIQPro website, software platform, and related services (collectively, the "Service").
1. Information We Collect
Depending upon how you use the Service, we may collect:
Account Information
This may include your name, email address, organization, account credentials, subscription status, and related account information.
Billing Information
Payments may be processed through third-party payment processors. ImpairmentIQPro may receive information concerning your subscription, payment status, transaction identifiers, billing history, and limited payment information but does not necessarily receive or store complete payment-card numbers.
Case Materials
Users may upload police reports, investigative reports, legal documents, test results, narratives, or other case-related materials. These documents may contain information concerning individuals other than the User, including names, addresses, dates of birth, driver's-license information, medical or health-related information, chemical testing results, alleged criminal conduct, witness information, law-enforcement information, and other potentially sensitive information.
Case and Jurisdiction Information
Users may provide information such as state, county, case characteristics, investigative details, testing information, and case outcomes.
Usage and Technical Information
We may collect information regarding use of the Service, including IP address, device and browser information, login activity, timestamps, error information, feature usage, security information, and other technical data reasonably necessary to operate and secure the Service.
2. How We Use Information
We may use information to:
- Provide and operate ImpairmentIQPro;
- Authenticate Users and maintain accounts;
- Process uploaded materials;
- Generate requested analyses and reports;
- Maintain Users' case histories and generated reports;
- Process subscriptions and payments;
- Provide customer support;
- Detect fraud, abuse, and security incidents;
- Diagnose technical problems;
- Improve the functionality and reliability of the Service;
- Develop and improve analytical features;
- Create de-identified, anonymized, or aggregated information;
- Provide historical case and outcome information; and
- Comply with applicable legal obligations.
3. Artificial Intelligence Processing and Privacy Scrubbing
ImpairmentIQPro uses artificial intelligence and related technologies to generate portions of the analysis.
Before any case text is sent to an external AI provider, ImpairmentIQPro runs an automated, server-side process that reviews the submitted report text and case name to detect and remove or replace supported categories of identifying information. This process runs on every analysis and is designed to remove identifying information while preserving the analytical content of the case, such as test results, observations, timelines, symptoms, statements, and statutory references.
The categories the process is designed to detect and redact or replace include:
- Names of individuals (replaced with neutral role labels such as "Subject," "Officer," or "Witness");
- Social Security numbers;
- Email addresses;
- Telephone numbers;
- Payment-card numbers and financial-account numbers;
- Driver's-license, passport, and license-plate numbers;
- Vehicle identification numbers (VINs);
- Medical record, patient, member, and policy numbers;
- Street addresses and postal (ZIP) codes;
- Dates of birth (converted to an approximate age); and
- GPS coordinates and badge, employee, or internal identification numbers.
The mapping between real names and the neutral role labels is held only in temporary memory for the duration of processing. It is not saved, is not returned in the generated report, and is not written to our logs; it is discarded when processing for that submission completes. The generated analysis is written using the neutral labels, and identifying information is not re-inserted into the body of the report. The case name you enter is an exception: it is saved with your report and displayed on the report and its PDF, and it is not sent to the AI provider.
This process is automated and is not guaranteed to remove all identifying information. It may miss identifying details, particularly when they appear in unexpected formats, and the remaining case context may still be sufficient to identify an individual. You should not assume that all personal information has been removed, and you should upload only information you are authorized to submit.
If the process cannot confirm that certain high-risk identifiers (such as Social Security numbers, full payment-card numbers, email addresses, telephone numbers, or vehicle identification numbers) have been removed, the submission is not sent for analysis and no report is generated for that attempt.
When you upload a PDF, the text is extracted on ImpairmentIQPro's own servers. The original uploaded file is not sent to a separate third-party document-extraction or optical-character-recognition service before scrubbing.
After scrubbing, the resulting analysis text is transmitted to third-party AI service providers that generate the analysis. ImpairmentIQPro currently uses OpenAI and Anthropic for this purpose. These providers receive the scrubbed analysis content in order to return an analysis.
The AI providers' processing, security, retention, and data-use practices are governed by our agreements and account configuration with them and by their own terms, which may differ between providers and may change over time. ImpairmentIQPro does not control those practices and does not represent that any particular AI provider operates under a zero-data-retention arrangement, that submitted content is never retained by a provider, or that any provider's processing is covered by a HIPAA Business Associate Agreement.
4. What We Store and Your Storage Choice
ImpairmentIQPro stores case information in two ways.
Processing and account records. When you submit a case for analysis, the case text you submit is stored in our systems as part of the processing and account record for that analysis. This is used to run the analysis, enforce monthly usage limits, provide customer support, and maintain a record of account activity. It occurs for every submission, regardless of the storage setting described below.
Saved reports (report history). Separately, when case-data storage is enabled for your account, your completed reports — including the generated analysis results and the case name you entered — are saved to your report history so that you can revisit them, download them, and log case outcomes.
Case-data storage is enabled by default for new accounts. You can turn it off at any time in Settings. Turning it off stops future completed reports from being added to your report history; analyses still run normally. It does not delete reports you have already saved, and it does not by itself remove the processing and account records described above. If you previously turned storage off, that choice remains in effect until you change it.
You can delete a saved report from your report history at any time. To request deletion of other case information, including processing and account records, contact support@impairmentiqpro.com. Deletion from active systems may not result in immediate deletion from backups, security logs, fraud-prevention systems, or records that we are legally required or reasonably permitted to retain.
5. De-Identified and Anonymized Information
ImpairmentIQPro may create de-identified, anonymized, and/or aggregated information from information processed through the Service.
We may use appropriately de-identified information for purposes including:
- Historical case and outcome analysis;
- Statistical analysis;
- Improving analytical features;
- Evaluating system performance;
- Improving the Service;
- Research and product development; and
- Identifying trends across jurisdictions or case characteristics.
6. Case Outcome Information
Users may voluntarily provide information concerning the disposition or outcome of a case.
ImpairmentIQPro may use de-identified or anonymized outcome information to provide historical context regarding similar matters, jurisdictions, case characteristics, or outcomes.
Historical outcome information is not intended to identify individual defendants, clients, attorneys, officers, witnesses, victims, or other persons.
7. Service Providers
We may disclose information to service providers that perform functions necessary to operate ImpairmentIQPro.
These may include providers of:
- Cloud infrastructure and hosting;
- Database and storage services;
- Authentication;
- Artificial intelligence and machine-learning processing;
- Payment processing;
- Email and communications;
- Security and monitoring; and
- Analytics and technical operations.
8. Sale of Personal Information
ImpairmentIQPro does not sell personal information for monetary consideration.
If our practices change in a manner requiring additional disclosures or rights under applicable law, this Privacy Policy will be updated accordingly.
9. Security
ImpairmentIQPro uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.
However, no internet-based service, electronic storage system, or transmission method can guarantee absolute security.
Users are responsible for protecting their login credentials and maintaining appropriate security over devices used to access the Service.
10. Data Retention
We retain identifiable information for as long as reasonably necessary to provide the Service, maintain User-requested case histories, satisfy legitimate business and security purposes, resolve disputes, and comply with legal obligations.
Processing and account records for a submission, including the submitted case text, are retained until they are deleted at your request, subject to applicable backup and legal-retention limits. Saved reports remain available within a User's report history until deleted by the User, deletion is requested, or the account is otherwise closed, subject to applicable retention requirements.
De-identified, anonymized, or aggregated information that is no longer reasonably associated with an identifiable individual may be retained for a longer period and used for legitimate analytical, research, statistical, and product-development purposes as permitted by law.
11. User Choices and Requests
Depending upon applicable law and the nature of the information involved, Users may be able to:
- Access information associated with their account;
- Correct certain account information;
- Delete stored cases;
- Request account deletion;
- Request deletion of certain personal information; or
- Contact us regarding privacy questions or concerns.
Requests may be submitted to support@impairmentiqpro.com.
We may need to verify a requester's identity before completing certain requests.
12. Third-Party Information Submitted by Users
Because Users may upload documents concerning clients, defendants, witnesses, officers, victims, or other third parties, the User submitting the information is responsible for ensuring that the User has appropriate authority or another lawful basis to submit and process that information.
ImpairmentIQPro processes such information to provide the Service and for other purposes described in this Privacy Policy.
13. Children's Privacy
ImpairmentIQPro is not intended for use by individuals under 18 years of age.
We do not knowingly permit individuals under 18 to create accounts.
14. Legal Requirements and Protection of Rights
We may preserve, use, or disclose information when reasonably necessary to comply with applicable law, regulation, subpoena, court order, or other lawful process; protect the security and integrity of the Service; investigate fraud or misuse; enforce our agreements; or protect the rights and safety of ImpairmentIQPro, our Users, or others.
Where legally permitted and reasonably practicable, we may seek to limit disclosure to information necessary to respond to the applicable request.
15. Business Transfers
If ImpairmentIQPro is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction subject to applicable law and appropriate confidentiality protections.
16. Changes to This Privacy Policy
We may update this Privacy Policy as the Service, technology, or legal requirements change.
Material changes may be communicated through the Service, by email, or through another reasonable method.
The effective date at the beginning of this Privacy Policy indicates when the current version became effective.
